The client operates in the education sector, providing tailored tutoring and developmental support to students. With offices in Daphne, AL; Pensacola, AL; and Montgomery, AL, they serve a diverse clientele across rural and urban locations. The client needed to improve their sales and operational efficiency by streamlining lead management and student onboarding using Zoho CRM, automation and integration with Teachworks.
An Existing Manual Cumbersome Process
The client faced several challenges in their sales process:
- Manual Lead Management. Lead information was recorded manually using paper forms, resulting in inefficiencies and errors.
- Appointment Bottlenecks. Manual activation of pending profiles, missed intake forms due to complex processes, and clunky communication for confirmations and invoices.
- Scheduling Inefficiencies. Educational Consultants' availability was managed manually, increasing the risk of double bookings.
- Cumbersome Administration. Scheduling, assigning teachers, and tracking follow-ups were handled manually, delaying operations.
- Payment Complexities. The lack of integrated payment systems complicated both recurring and one-time billing.
- Data Siloes. TeachWorks data was not integrated with a CRM, leading to duplication and reduced productivity.
To address these issues, the company needed a CRM system capable of unifying its operations and improving overall efficiency.
A Simple Yet Highly Customized Zoho Ecosystem Implementation
To address the operational inefficiencies, Delveio Consulting implemented a solution using Zoho CRM, Zoho Forms, and a custom TeachWorks API integration. The approach was tailored to streamline lead management, improve administrative productivity, and simplify the student onboarding process.
Zoho CRM served as the centralized hub for managing leads, appointments, and student data.
- Custom Fields. Tailored fields to capture detailed parent and student information such as parent names, email addresses, student grades, and concerns. Included fields for appointment status, payment confirmation, and follow-up actions.
- Automated Tasks. Automated task creation for lead and deal follow-ups, appointment confirmations, and consultation feedback. Task reminders ensured no pipeline stage or follow-up was missed.
- Workflows. Configured workflows to automate the lead-to-student journey. Triggered follow-up emails for missed consultations or missed payments. Automatically updated lead statuses (e.g., Pending, Enrolled, Inactive) based on actions like appointment booking or form submissions. Created alerts for overdue tasks.
- Email Integration. Integrated Zoho CRM with the client's email systems to centralize communication. Enabled automated email workflows for intake forms, reminders, and post-consultation follow-ups. All emails automatically logged under the relevant lead or student profile.
- Zoho CRM API Integration with TeachWorks. Built a two-way API integration to synchronize data between Zoho CRM and TeachWorks. Automated the creation of profiles in TeachWorks when leads were converted to students in Zoho CRM. Synced appointment schedules, status updates, and consultation notes between the two platforms.
Zoho Forms was used as the primary tool for lead capture and student onboarding.
- Lead Forms. Created lead capture forms embedded on the website, capturing inquiries directly into Zoho CRM. These forms were integrated with CRM workflows to automatically assign tasks to the Sales Operations Associate for follow-ups.
- Forms with Payment and Sign Abilities. Designed enrolment forms with embedded payment gateways (Stripe) and digital signature capabilities. Parents could complete all necessary steps, submitting details, signing agreements, and making payments, through a single form. This drastically reduced onboarding time. Payment statuses were automatically updated in Zoho CRM for tracking and reconciliation.
The existing TeachWorks system was optimized through a custom-built two-way API integration to ensure smooth data flow and eliminate manual data entry.
- Two-Way API Integration. Automated the synchronization of student profiles, appointments, and intake forms between TeachWorks and Zoho CRM. Any updates made in TeachWorks (e.g., appointment completion or status changes) were reflected in Zoho CRM in real time. Consultants can view live data on appointments and student profiles within both systems.
- Streamlined Scheduling. Used TeachWorks' booking system to dynamically sync consultant availability with Zoho CRM. Eliminated double bookings by integrating scheduling rules and automating reminders for both consultants and clients. Improved the process of handling pending profiles, reducing delays in onboarding.
- Consultant Feedback and Reporting. Consultants can log appointment feedback directly into TeachWorks, which syncs to Zoho CRM for reporting and billing purposes. Reports on consultation attendance and enrolment conversion rates were generated to provide actionable insights for management.
