A Fragmented Workflow

Though the client had integrated the Professional edition of Zoho CRM, their operational complexity required a more specialized configuration. They needed a system capable of managing patient histories, treatments, and communications, all while syncing with their existing tools.

Staff often encountered redundant data entry tasks and a lag in updating patient records, leading to inefficiencies and occasional errors. Their professionals managed multiple patients daily, and needed a system that could handle bookings, reschedulings, and cancellations without the risk of double-bookings or missed appointments.

Transformative Integration

Partnering with Delveio Consulting, the client set out to streamline their business processes using Zoho CRM, Zoho Forms, Zoho Bookings, Zoho Flow, Zapier and Tidio.

1 Zoho CRM Implementation

The core of the project was building a CRM system around the client's specific requirements:

  • Custom Modules. Beyond Zoho CRM's standard offerings, we built custom modules for Patients. These were connected to the standard Contact and Treatment modules using custom functions.
  • Layout & Fields Customization. We created distinct layouts and fields to match the client's operations, keeping data management streamlined and intuitive for the staff.
  • Email Templates. We built custom email templates to ensure consistent, professional patient interactions.
  • Workflows Creation. We introduced workflows for each type of patient engagement to ensure every interaction is properly handled.
2 Zoho Forms and Routing through Zoho Flow to Zoho CRM

Data collection from patients is about gathering precise and essential information that forms the basis of their health services. Integrating this data into the CRM was critical.

  • Zoho Forms Creation. Custom forms were designed to gather the specific patient information required. These forms include conditional fields and validation checks for accuracy and completeness.
  • Routing through Zoho Flow. Once a form is submitted, the data is routed through Zoho Flow. We set up specific flows that process the data and place it into the correct CRM modules and fields.
  • Automatic Notifications & Alerts. On successful form submission and data routing, automated notifications inform the relevant department or consultant of new or updated patient details.
  • Error Handling and Redundancy Checks. We built error handling into Zoho Flow. If data cannot be routed to the CRM, alerts go out to the admin team to manually check and fix the issue.
3 Zoho Bookings Implementation and Integration with Zoho CRM
  • Unified Calendar. We integrated Zoho Bookings with Zoho CRM so staff can view and manage appointments directly within the CRM. All patient data, treatment histories, and appointment schedules are accessible from one platform.
  • Real-time Sync. Any appointment booked, rescheduled, or cancelled reflects immediately across all systems, eliminating scheduling conflicts.
  • Automated Notifications. Patients receive timely reminders about upcoming appointments, reducing no-shows.
  • Custom Booking Links. Each consultant was provided with a custom booking link, allowing patients to book based on the consultant's availability. This reduced admin work and improved patient convenience.
  • Data Analysis and Insights. Post-integration, the client can gain insights into booking trends, peak appointment times, patient preferences, and more.
4 Tidio Integration with Zoho CRM via Zapier and Zoho Flow

The client wanted to integrate live chat into their workflow. Tidio was their choice, and the data from chat interactions needed to flow into Zoho CRM.

  • Tidio to Zapier. Every time a chat ends or a user leaves a message, Zapier captures the data.
  • Data Processing with Zoho Flow. Before pushing data to Zoho CRM, Zoho Flow processes the chat data: categorizing by keywords, prioritizing messages, and segmenting by user queries.
  • Push to Zoho CRM. New chats from potential clients are stored as leads. Chats from existing patients update their CRM records.
  • Automated Responses and Actions. Appointment queries trigger an automated email with the clinic's schedule. Treatment-related questions alert the relevant consultant or department.
  • Error Checks. If data fails to sync with the CRM, alerts are generated prompting manual intervention.

The combination of Zoho CRM, Zoho Forms, Zoho Flow, Zoho Bookings, Zapier and Tidio created a unified system that improved the client's efficiency across the board. Staff no longer split their time between data entry and patient care. Automatic notifications keep the team updated in real-time. Management now has the data they need to make informed decisions.
